2. Menu bar and functions

The termXact ribbon bar is subdevided into six sections.

 

Example for user interface in MS Office programs

Menu entry/symbol

Description

1 Settings

Language
to be verified

This setting changes the
language that is to be verified in the current session, e. g. German instead
of English.

On the next loading of the
editor the last setting of Language to
be varified
will be preset automatically.

Varification
mode

Changes the varification
mode in the current session, i. e. the section that has to be varified.

Please note different
options regarding to the MS office programs.

In MS Word:

     
current document
checks the complete document

     
current selection
checks the selected text

     
current section
checks the section where the pointer is placed

 

In MS Excel:

current workbook checks the complete workbook

current selection checks the selected cells

current worksheet checks the worksheet shown in the foreground

 

In MS PowerPoint:

current document checks the complete document

current selection checks the selected text

current slide checks the slide shown in the foreground

 

In
Flare:

       
current document checks
the complete document

       
selection
checks
the selected text

       
files in same folder checks
all files in the selected folder

       
all opened documents checks
all documents that are currently loaded in Flare

       
choose folder jumps to the selection
of a folder/file in the directory system

 

On the next loading of the
editor the last setting of Varification
Mode
will be preset automatically.


File types (only Flare)

Select the file type to be
checked: All, Topics (*.htm)
or Snippets (*flsnp).

Filter
Term Database

Varification against a
reduced list.

The criteria to varify
against a reduced list are set in the configuration (see configuration
manual).

On the next loading of the
editor the last setting of Filter Term Database will be preset automatically.

Check index entries

(only Flare)

When you select this check
box, the term attributes in
the MadCap:keyword element
are checked. This is an element that is not normally displayed in the XML
Editor view, but only in the Text Editor view. Since, depending on the use
case, synonyms could often be entered here that are explicitly not
incorrectly used terms at this point, you can exclude this field from the
check with the checkbox. Unlike the other entries in the quick settings, the
selection is saved because there is no separate setting option for this in
the configuration window and the setting can also change depending on the
project.

2 Varification section

Verify Terminology

Starts the varification of the terms according to
the set check mode

 

 

Show Results Overview

Displays details of terms that were found in a
separat window on the right side.

This window contains functions to jump to terms that
were found, to replace terms and to ignore proposals (see description Term
Details
on page 8).

Remove Markers

Removes marks of terms that were found in the text.

 

 

Delete markers in all files

(only Flare)

Deletes the markers in all files involved in the
project.

 

 

3 Collaboration
section

Mail to Terminology Expert

Send an E-Mail to the terminology expert: E. g.
notes, new proposals or change requests.

Terminology Database

Jumps to the complete term inventory on which the
varification is based on.

Terminology Help

Function to get further information deposited by the
terminology expert.

4 Configuration
section

Configuration

Opens the configuration window. If you use Excel as
a data source, the settings are made once by the administrator and should
only be used by the user after consultation the administrator. The settings
are described in the configuration manual.

If you use TBX/XML or Service as a data source, then
there are basic settings, such as storage locations for files and column
names and values. These settings should also be made by an administrator.
With these data sources, you as a user must open the configuration window
before the terminology check in order to load the current terminology
inventory, if it has changed.

About termXact

Displays the version number and license terms.

 

 

termXact Activation

 

Opens a window in which you can

      
view the entered licence key (with active single
user licence).

      
Enter a new licence key to create a full version
from a demo version.

New
request to license server

If there was no connection to the Internet when the
add-in was started, or a firewall is blocking the connection to the license
server, the license server unreachable status message is displayed. After the
connection problem has been resolved, you can use this button to request the
licence server again.

6. Status area

 

Displays
the licence status in the top line

The following statuses are possible:

1.      licence is being
checked

2.     demo version – active

3.     demo version – trial
period expired

4.     single user licence –
active

5.     single
user licence – licence server not accessible

Displays
the status of the term data to be checked on the bottom line

The following status messages apply both when you
check against a local data and when you check against server-side term data.
In both cases, the system automatically checks whether the terminology has
changed since the last check.

The following statuses are possible:

1.      Term
data up-to-date, i.e. the term data (e.g. from termXplorer) matches the local
term data last used.

2.     Term
data updated, i.e. the term data was changed after the last local check and
the local term data was automatically updated.

3.     Term
data only local!, i.e. the server-side term data could not be queried, but
local term data are available for checking. The failed server query may be
due to incorrect or missing entries in the configuration (menu Configuration
=> Terminology File tab => Service data source)

Note: In this case, you may check local term data that
are not current if the server-side term data has been changed since the last
check.

4.     No
term data!, i.e. the server-side term data could not be queried and no local
term data are available for checking.
In this case you cannot check the terminology.
